






Terms and Conditions for enrolment of child at Arabic Club For Kids
These are the terms and conditions between the parent or legal guardian of the child (“you” or “your”), and the Arabic Club for Kids (“Arabic Club” or “we” or “us” or “our”) which govern the enrolment and attendance of your child at the Arabic Club.

1 Arabic Club Term and Timings
1.1 The Arabic Club will operate three (3) terms per year, and will broadly follow the state school academic calendar .
1.2 Each term will be for ten (10) weeks and the start date will be notified in advance to parents.
1.3 On each Saturday during term-time, the Arabic Club will have operating hours between 10am-4;30pm, but individual classes may only take place for part of the day. You will be told at the time of registration times for each age-group to attend (and it is also published on the Arabic Club website) for you.:
2 The Arabic Club’s Activities
2.1 The Arabic Club aims to provide a children’s school for the Arabic language using a professional and structured curriculum, clearly thought-out materials and resources.
2.2 The Arabic Club aims to provide a learning environment for children to learn the Arabic language regardless of their previous Arabic language ability.
3 Trial Period
3.1 You may cancel your child’s enrolment for any reason at any time during the first two (2) weeks of the first term your child is enrolled with the Arabic Club, and receive a full refund of fees paid. No application for a refund will be entertained after this two week period.
4 Fees
4.1 The standard fees for the Arabic Club are declared on the website, or please contact us to find out more.
4.2 There is a 10% discount on the standard fees if you register your child for 2 or more terms. The fees payable in advance by direct bank transfer, cheque or cash.
4.3 The Arabic Club reserves the right to increase the fees, by giving no less than one term’s notice to parents. No change in fees will apply within an academic year if you have prepaid in advance for 2 or more terms.
5 Application Process
5.1 You may book per term or for consecutive terms. To apply you must fill in an application form which can be downloaded from www.arabicclub.co.uk or is available on request. No payment is required at the time of application.
5.2 The registration process requires you to provide information about yourself, and your child. This information shall be used for planning and administration purposes only, and shall be held in accordance with the Arabic Club’s confidentiality policies.
5.3 You will be contacted and asked to fill in a registration form if your application is successful. Payment is required on registration, i.e. fees should be paid in advance of your child’s commencement at the Arabic Club. Registration cannot be completed without payment.
5.4 Each application shall be considered on its own merits. The Arabic Club does not discriminate on the basis of gender, religion, ethnic origin, or nationality and is committed to providing quality Arabic education to children regardless of background.
6 Attending the Arabic Club
6.1 There is no school uniform. However, please ensure that your child is dressed in suitable clothing for both classroom work and outdoor play.
6.2 You must provide your child with a suitable packed lunch. We encourage each child bring their own water bottle, although water will be available at all times otherwise. All children will be offered fruit and milk during break-times. Nuts (or items containing nuts) are not allowed on the Arabic Club’s premises.
6.3 You must speak with your child prior to them attending about good behaviour and respect for the property and staff. The Arabic Club reserves the right to suspend your child from attendance at the Arabic Club if there is persistent unreasonable or disruptive behaviour.
6.4 If your child damages property despite advice from staff, you will be contacted and your child may not be allowed to continue at the Arabic Club. You may also be required to pay for the damage caused by your child.
6.5 Your child must be collected on time at 1.00pm or 4.00pm or 4.30pm depending on which learning option your child are enrolled in. Please be prompt as staff cannot be employed outside their working hours to continue caring for children.
6.6 The Arabic Club may operate its school activities from different locations (“the Club Locations”). At the time of registration, you will be asked which Club Location you wish to enrol your child. Whilst the Arabic Club will make every endeavour to place your child in the Club Location of your choice, it may sometimes be necessary to offer a place at alternative venue.
7 Emergencies and Contact Information
7.1 In the registration form, you will be required to provide emergency contact numbers. If you cannot be contacted, then your nominated contact person will be contacted and according to need, may be asked to collect your child.
7.2 In the case of emergency, signing the registration form will give consent to the Arabic Club to provide your child with emergency action such as hospitalisation if required and/or emergency treatment, if you cannot be reasonably contacted.
8 Medical and Health Policies
8.1 There is always a ‘first-aider’ who will be able to attend to your child on the property in case of minor incidents.
8.2 An appropriate staffing ratio will be maintained at all times to care for your children.
8.3 Staff on duty will be caring staff who have sufficient training to look after children, and have experience in teaching and child-centred environments.
8.4 If there is any emergency situation staff will respond swiftly and with reasonable care attend to your child, and will call the emergency medical services where reasonably required.
8.5 In the case of allergy sufferers, parents/carers should be aware that The Arabic Club does not accept liability for any emergency situation arising due to allergic conditions such as allergy to nuts, milk, or insect bites, or any other such allergies. Please note that the Arabic Club does not currently have facilities in place for equipment such as EpiPens.
8.6 It is your responsibility to inform the Arabic Club of any special conditions or allergies that affect your child. You agree that the Arabic Club may disclose any allergies or other medical information in an emergency situation.
9 Withdrawal of your child from the Arabic Club
9.1 Except for the initial two week trial period, you may only withdraw your child’s enrolment at the end of term(s) for which your child has been registered.
9.2 The Arabic Club reserves the right to deny enrolment of your child, or to require its immediate withdrawal if:
9.2.1 there is insufficient space and the maximum enrolment for the relevant age group has already been reached at the time your registration form is received;
9.2.2 the fees are unpaid after two (2) written reminders;
9.2.3 your child is disruptive or poses a risk to the other children in the Arabic Club, and reasonable efforts to resolve the situation have failed.
9.3 If your child withdraws or is required to withdraw after the two week trial period, then any fees paid are non-refundable.
10 Absence
10.1 If your child is absent due to illness or for any other reason from the Arabic Club, no refund or credit for the fees can be given.
11 Liability
11.1 The Arabic Club shall not be liable for any foreseeable loss, damages, expenses or costs incurred by you as a result of enrolling your child in the Arabic Club. Any liability shall be limited to the amount of fees paid for the current term.
11.2 Nothing in these terms and conditions will limit or exclude any of the Arabic Club’s statutorily liabilities.
12 Confidentiality and Privacy
12.1 The Arabic Club keeps all records confidential and will only share them with other individuals, schools, or other organisations at your request or with your consent, or where required by law.
